How Can a Small Business Stop Losing Customers to Missed Calls? An AI Receptionist, Explained Honestly

The short answer: let something answer every call. An AI receptionist (also called an AI voice agent) picks up when you can't, handles the routine questions, and books the rest in for a real person. A missed call stops being a lost customer and becomes a callback on your calendar.

Here's what that looks like in practice, what it can't do, and what it costs.

Do people really not call back?

Most owners assume a missed caller will try again later, or that they'll phone them back once the job's done. One big dataset suggests the second part often doesn't happen.

Quo, a US business phone company, analysed 16.7 million missed calls made to its customers over three months. 69% of those calls got no callback within 48 hours. Of the 31% that were called back, nearly all were called back within a day. Quo's report says that if a callback doesn't happen on the same day, it's unlikely to happen at all [1] [2].

These are Quo's own figures, from its own customers, and it doesn't say which countries they're in. They already use a business phone app, so this may be the good-news version. We haven't found a reliable South African figure yet.

And a word of warning: many of the missed-call numbers you'll see online are hard to trace. We checked the famous "62% of calls go unanswered" in an earlier post: it comes from one 2016 study of 85 businesses [3]. The "85% of callers never call back" figure has no source we could find at all.

What does an AI receptionist actually do on a call?

We tested ours on ourselves, with one of our team playing a barber shop owner. In under four minutes, the AI:

  1. Answered straight away, with no hold music and no "press 1".
  2. Worked out what the caller needed.
  3. Answered questions about what we build, and quoted our pricing.
  4. Booked a callback for that same evening.
  5. Sent the team a written summary, so a person picked up where the AI left off.

No person answered on our side. You can try the same thing: +27 87 727 7500.

What can't it do?

An AI receptionist is good at the calls that repeat: opening hours, prices, availability, "can someone come out on Thursday?". It's not good at:

  • Judgement calls, like a complaint, a discount request or anything that needs a decision.
  • Anything that isn't in its brief. It only knows what you've told it.
  • Fixing a messy process. If your price list is out of date, it will quote the old price, confidently.

That's why the handover matters. Ours never pretends to close the deal: it books the callback, and a person makes the call.

What does it cost in South Africa?

For our AI call centre, setup is usually R1,500 to R3,000, depending on the scope. After that it's about R50 to R350 a month, depending on how many calls it handles. A new dedicated phone number costs under R50 a month. You get an exact quote after a short info session, because every business's calls are different.

Compare that with the job it does: one missed booking, one quote that went to a competitor, one emergency call that rang out.

How do I start?

  1. Count your missed calls for one week. Your phone's call log already has them.
  2. List the questions callers ask most. Those are the AI's first brief.
  3. Decide what it should do when it can't help: book a callback, take a message, or forward the call.
  4. Test one yourself before you pay for anything. Call ours: +27 87 727 7500.

Questions owners ask us

Will my customers know it's an AI?

Ours doesn't announce it on the call. We say it openly on our website and in posts like this one. Whether yours does is your decision.

Does it work after hours and on weekends?

Yes. It answers at 9pm on a Sunday the same way it answers at 10am on a Monday.

Which languages can it speak?

Ours answers in English and Afrikaans, and we've tested both. It can be set up for other languages too, but we only promise what we've tested ourselves, so ask us about yours.

What about my customers' personal information?

If your business is based in South Africa, POPIA applies to the personal information your callers give you [4]. Ask any provider where call recordings and summaries are kept and who can see them. We're happy to answer that for our own setup.

Can it replace my receptionist?

It takes over the repeat calls, so a person has time for the ones that need a person. The job changes. The person stays.
